Job Description:

Job Summary:

Executive assistant role reporting to the President of the Segment. This person is responsible for assisting the President and Executive Leadership team with administrative support functions required to ensure the efficient operations of the department.

Primary Responsibilities:

  • Provide comprehensive administrative and office support to the leadership team.
  • Manage the President's calendar, including scheduling meetings, appointments, and other commitments.
  • Coordinate travel arrangements and reservations for the leadership team.
  • Prepare and submit expense reports for members of the leadership team.
  • Collaborate with the corporate administrative team to coordinate leadership attendance at corporate meetings, conferences, and events.
  • Assist with the planning, coordination, and execution of leadership and team meetings.
  • Create and maintain professional presentations, reports, organizational charts, forms, and other business documents.
  • Manage and coordinate incoming and outgoing electronic communications as appropriate.
  • Prioritize and manage multiple projects, deadlines, and requests simultaneously, ensuring timely follow-up and completion.
  • Handle confidential and sensitive information with a high level of discretion and professionalism.
  • Maintain accurate records, files, and administrative documentation.
  • Perform other duties as assigned to support the leadership team and business operations.
  • Comply with all company policies, procedures, and applicable standards.

Qualifications:

• High School Diploma or Equivalent
• At least 5 Years experience
• MS Office Suite, efficient keyboarding, excellent interaction across organization, all levels of personnel, and external
vendors, suppliers, agencies, etc.

Licenses and Certifications
• MSOS - Microsoft Office Specialist Preferred
